Pre-Code Camp Volunteers meeting

Hello everyone,

I just found out that Phil Wheat, our Architect Evangelist, who is the person that will be there for us from Microsoft on Saturday, is going to be out of town on Wednesday. I want you all to meet him in before the event but he will not be back in town until Friday. He has offered to let us in to check the rooms so I we'll re-schedule the meeting to Friday, primarily for you to meet him.

I will post this email on the forum as well, please let me know whether you will be able to attend Friday (roughly 6:00 to 7:30) by replying to this post on the forum. DDNUG will be sponsoring dinner for you that night.

The goals for our meeting are:
  • We get to meet each other, and like I told some of you on Thursday, I want you to meet Toi, she will be your main contact the day of the event
  • We have "Goodie-bags" to fill up with sponsor flyers, pens, evals, etc. If allowed, we'll leave these bags there overnight.
  • Label the rooms (DCC1...DCC5)
  • Determine how we are going to collect and store the eval forms.
  • Organize give-aways and determine if it is worth having people choose what they want to win (like done at DDNUG)
  • Determine procedure for lunch. Moving food and drinks around and setting up tables, trash containers, etc. (also determine what "etc." means here)
  • Verify rooms capacity
  • Determine how and where goodie bags and tickets will be handed out
  • We will have quick talks during registration so that people do not get bored while they wait in the room for the event to start. A few people have already signed up to do these talks, we'll need to assign somebody to coordinate this.
  • Determine procedure to identify which sessions will be repeated. Speaker availability is the most important item here.
  • Find out from Phil Wheat what the registration process is going to be like and see what we can help with.
  • Figure out speaker services and coordination
  • Determine event closing procedure
  • Anything else you can think of, please post it on the forum.

Also, considering which sessions each volunteer wants to attend, let's determine at this meeting who will be doing what on Saturday.

Sorry, I can not make Friday evening this time around.

If I recall there was a bit of a backup at registration due to it having to be handled by a Microsoft employee. I don't know if that could be streamlined at all or not??

A phone number for security on the volunteer/speaker contact list. I don't think we had riots last time but you never know :o). Actually thinking medical emergency.

I don't recall any problem areas other than needing escourts for the elevators, but some things you have to live with.
